Patient acquisition and retention, with the records to evidence it
Patients, providers, appointments, recalls, consent and authorisations as real objects. Consent-aware automation, PHI scanning on outbound copy, and a tamper-evident trail on every send.
Built for healthcare. From the data layer up.
Most marketing tools store a patient as a contact with extra fields, which is where the trouble starts. This suite models the work directly — patients, providers, appointments, recalls, consent events and insurance authorisations — so campaigns, scheduling and reporting read the same records. Consent is tracked as an event, outbound copy is scanned for PHI, patient data stays in the region you choose, and every send lands in a tamper-evident audit trail. Recall, telehealth onboarding and reactivation flows are built in.
- ✓Patients modelled as patients — not contacts with custom fields
- ✓Patient data resident in the region you choose, in separate databases
- ✓Consent-aware lifecycle automation (acquisition, recall, reactivation)
- ✓PHI scanning on outbound copy, with the scan recorded
- ✓Tamper-evident audit trail on every send, exportable for your own review
Your first afternoon on BorakDesk
- 1Connect your EHR or scheduling system
- 2Use the bundled patient-recall sequence (90-day, 6-month, annual)
- 3Set up a consent-aware telehealth onboarding flow
- 4Hand a clean audit trail to your compliance officer
What a typical practice pays today for tools we include.
Independent practices routinely stack three or four vendors just to keep patient communication modern. Every add-on carries its own login, its own bill, its own contract. The default answer to "add one more tool" is no — so the practice keeps sending one-way emails and losing revenue to no-shows.
Every workflow a modern practice runs — one login.
Appointment Manager
Schedule, cancel, and check in. When a slot opens, the waitlist offer modal opens automatically with a ranked list of matching patients.
Reminders + no-show detection
24-hour and 2-hour reminders via email and SMS. Auto-flag no-shows, fire the "we missed you" nudge, and surface repeat offenders on the patient row.
One-tap confirm & reschedule
Patients confirm, decline, or pick a new time from any device. No app to download, no account to create. Your slots stay full.
Two-way patient inbox
Email and SMS threaded per patient. Templates, internal notes, staff assignment, and file attachments — the Klara feature set without the second bill.
Microsoft Teams visits
Start a video visit from inside any thread. Practices already on M365 use their existing licence — no Vonage seat to pay for.
Consent, on the record
Digital consent forms with immutable signed snapshots. PHI Guard scans outbound copy and records the scan. Patient data stays in your regional database.
Nothing to procure. Nothing to migrate.
Sending domain on your M365. SMS through your BYOA Twilio. AI through your Azure OpenAI or the platform default. Inbound patient replies route through a Power Automate flow you set up in fifteen minutes.
Where Healthcare VDM lands versus what you're running now.
Klara + EHR + Mailchimp

Everything in one plan
- ✓Single login, single bill, single roadmap
- ✓Microsoft Teams visits — practices already on M365 pay $0 extra
- ✓Marketing OS + messaging + scheduling under one roof
- ✓Purpose-built for healthcare; 13 other VDMs share the platform
Fifteen tools, one contract.
No practice buys fifteen separate products — the categories arrive bundled, three or four at a time, from three or four vendors. A practice arriving from a typical stack cancels three to five subscriptions and stops paying per provider for the two that charge that way. Each row below is what the VDM does today, and where that capability is going next.
| Capability | Usually bought as | Available today | Roadmap |
|---|---|---|---|
| Patient marketing email | Mailchimp, Constant Contact | Campaign builder, patient segments, deliverability, per-send analytics | Complete |
| Two-way patient messaging | Klara, Spruce Health, OhMD | Patient Inbox threaded per patient across email and SMS — templates, attachments, internal notes, staff assignment | Complete |
| Reminders, confirmations & recall | Solutionreach, Weave, RevenueWell | 24-hour and 2-hour reminders, one-tap confirm or reschedule, no-show flagging with the follow-up, recall queue by interval | Complete |
| Cancellation backfill | NexHealth, waitlist add-ons | Waitlist ranked against the open slot, offer sent the moment it opens | Offers cascading down the list unattended until one is taken |
| Online booking | NexHealth, Zocdoc practice tools | Per-provider booking links; Microsoft Bookings connected | Two-way Bookings sync, so either side can be the source of truth |
| Reputation & review requests | Birdeye, Podium, PatientPop | Requests triggered by completed visits, verified-patient flags, moderation before anything is published | Syndication to health directories and provider profiles |
| Patient satisfaction measurement | Survey suites, Press Ganey-style instruments | Ten-dimension survey, free-text themes, per-provider rollup over time | Complete |
| Telehealth video | Doxy.me, video seats inside a messaging tool | Visit started from inside the patient thread on the practice’s own Teams licence | Complete |
| After-hours question handling | Answering service, Hyro, Dialpad AI | Patient Chatbot answering hours, location, preparation and policy questions | Booking and rescheduling completed inside the chat |
| Digital consent & intake forms | IntakeQ, health-tier Jotform, Formstack | Consent Forms with an immutable signed snapshot; Consent Manager tracking who agreed to what, by channel and purpose | Complete |
| Outbound PHI leak prevention | DLP add-on on the mail tier | PHI Guard scans every outbound message in BLOCK mode and records the scan | Complete |
| HIPAA programme tooling | Compliancy Group, Accountable HQ | HIPAA Center checklist and readiness score, four generated policies, Trust Center evidence pack, breach workflow on the 60-day clock | Risk-analysis workbook and a vendor BAA register |
| Provider & capacity analytics | EHR analytics module, a BI seat | Provider Utilization with alerts, payer mix, insurance-auth ageing, revenue and lifetime value by referrer | Complete |
| Referral management | ReferralMD, physician-relations trackers | Patient reward programme and physician referral network, both attributed | Complete |
| Post-visit patient documentation | Dictation plus a manual email | AI-drafted post-visit summary, held for review before it sends | Ambient encounter capture drafting the clinical note, not only the patient letter |
BorakDesk signs a Business Associate Agreement with the practice and operates as its business associate. The compliance row describes software — a checklist, a readiness score, generated policies, an evidence pack. It is not a statement that we have been audited: we say HIPAA ready and the Trust Center states the unaudited status as fact. Named products are a comparison by capability category, not an audit of another vendor's software.
Where the Healthcare VDM is going.
None of what follows is in the product today, and none of it is priced. It is here because a practice moving three years of patient history onto a platform is entitled to know the direction before it commits. Two tracks, and we are honest about which one needs permission from somebody other than us.
From the patient’s experience into the clinical day
Today the VDM owns everything around the visit. This track moves it into the visit itself — the same login, the same patient record, no second system to reconcile.
- →Encounter documentation — a provider-facing note that the post-visit patient summary already half-writes
- →Superbill capture — the billable event, procedure and diagnosis coding with AI suggestion, handed to the practice’s biller
- →Refill requests — patient asks in the portal, provider approves or adjusts in a queue
- →Room and staff scheduling for multi-room clinics, alongside provider utilization
Sitting on top of the EHR the practice already has
The objection we hear is "we already run Epic". The answer is not to replace it — it is to be the patient-experience and marketing surface above it, reading and writing the same records.
- →Bidirectional FHIR sync for patients, appointments and observations — the connector ships today as a configured shell
- →Marketplace listings with the major EHR vendors, each with its own review process
- →Ambient clinical documentation through the practice’s own licence, feeding the note and the patient summary together
Each item here depends on an approval we do not control — vendor marketplace review, or a partnership. We open those conversations when a practice tells us it needs one, and not speculatively.
Two further steps — payer claims and electronic prescribing — sit beyond both tracks. Each needs a certification and a clearinghouse or pharmacy-network relationship that takes months of dedicated compliance work, so we will not put a date on either. We would rather tell you they are the direction than imply they are near.
The healthcare compliance story
The suite carries the records a practice needs to evidence its own compliance: consent events and forms, PHI scan events, business-associate attestation tracking, breach-notification records, and a tamper-evident audit trail. Patient data is resident in the region you choose — US, EU or Asia — in separate databases. These are controls and records, not a certification: BorakDesk holds no HIPAA attestation, and the covered entity remains the covered entity.
